Job Title: Training Administrator
Location: Khartoum, with travel to other states as required
Responsible to: Senior Training Coordinator
Period: One Year; Fixed-term contract. Extensions may be possible subject to funding and performance.
Start date: As soon as possible
Salary: 3,724.50 SDG Monthly Gross salary; the equivalent net monthly salary will be paid in hard currency (GBP); plus, other RedR benefits.
Purpose:
To support the delivery of RedR Sudan’s services through the Sudan Programme. As a Training Administrator in the Sudan Programmes team you will be responsible for supporting training and capacity-building events in Sudan, under all Programmes (Open, Tailor-Made, Projects), and contribute to the ongoing quality of our work through liaising with Associate Trainers, and supporting with monitoring, evaluation and reporting.
Main duties and responsibilities:
Event preparation and delivery to a consistently high quality
* Under the instruction of the Senior Training Coordinator, run a number of learning events across the Tailor-Made, Project based and Open programmes. For each event, contribute as assigned to the required activities, including:
o Recruitment, contracting and liaison with suitably qualified Associate Trainers
o Support arrangement of logistical and administrative requirements including trainer travel, accommodation, materials preparation, production and shipping, catering, with support from the Support Services Unit
o Close coordination with Field Office for training preparation and monitoring outside of Khartoum state
o Maintain proper filing system to keep all documentation related to the events, including contractual agreements, trainer reports, participant lists, follow-up results, pictures and other required documentation
o Provide administrative support through completing payment and purchase requests, data entry, archiving and filing, printing and organising of training materials.
o Coordinate 3-month post-training follow-up with participants and client organisation
* Support other Program team members on event preparation, delivery and monitoring as required, including team members in the El Fasher Field Office.
Programme Development
* Refer any received training enquiries to the Partnership and Compliance Coordinator
* Provide feedback for the course schedules, demands for courses and any new ideas towards trainings from clients
* Report any additional service requirements made by NGOs/INGOs/UN/Government
Ensure that the quality of our services is maintained and improved
* Input to discussions on course updates and areas for new development as appropriate
* As required, contract Associate Trainers to update RedR learning materials and content, in coordination with Program staff in country
* Support the assessment of prospective new Associate Trainers, as required
General
* Ensure proper handling and care of all equipment (computers, projectors, cameras, etc).
* Work in co-ordination with the rest of the team working at the Country Office in Khartoum and Field Office in El Fasher, and where necessary the head office in London.
* Maintain close cooperation and collaboration with the Country Director, Senior Training Coordinator, Training Coordinators, Partnership and Compliance HR Coordinator, Support Services Manager and Coordinator, Finance Officer, Field Area Coordinator and Officer.
* Undertake other tasks as reasonably requested by the Senior Training Coordinator.
Person Specification
Essential
* BSc in Administration, Social Science, or any relevant Humanitarian or Development Studies.
* Strong commitment to Humanitarian work, with more than 2 years’ direct and relevant experience of working in humanitarian field operations
* Strong command of English language skills (Read, Speak and Write)
* Excellent workload management skills and ability to use initiative to solve problems in line with RedR policies and procedures
* Effective cross-cultural communication skills and strong inter-personal skills, with the ability to deal with a variety of internal and external working contacts
* Flexibility, team player and positive work ethic
* Good data entry and analysis skills
* Good computer literacy, with knowledge of Microsoft Office applications, in particular Excel, Word and PowerPoint
* Willingness to undertake domestic travel to often insecure and difficult environments for periods of up to 2 weeks
Desirable
* Demonstrated track record of administering training related activities.
* Experience and knowledge of the training cycle including design, delivery and evaluation of learning events
* Experience with training institute or related professional services
